POSITION: COM/ IT Administrative Assistant

Description of Work:
Under the supervision and reports directly to the Director, Communications and Information Technology Department. Responsible for billing, accounts receivable, and accounts payable for the Department. Screen visitors and will assist with research and grant writing.
This position requires local travel in the service area to other tribal facilities. Other administrative functions and job duties as assigned.
Essential Functions:
This information is intended to be descriptive of the key responsibilities of the position. The following examples do not identify all duties performed by any single candidate.
- Prepare reports, documents, and department personnel actions for the Director.
- Initial contact person at help desk. Assign and track all work orders that are submitted to the help desk.
- Route orders to appropriate staff.
- Direct calls to appropriate personnel.
- Receipt funds of tribal identification for deposit.
- Assist in credit card control and security.
- Assist in receiving and releasing of vendor checks, Purchase orders, drawdown, and expenditures Reports.
- Assist in billing Tribal Programs and Departments for I.T. services.
- Reallocate costs back to Tribal Programs and Enterprises.
- Assist in obtaining vendor quotes for Tribal Program needs.
- Responsible for documenting, tracking, and reporting to I.T. Director instances of tribal computer user policy violations.

EDUCATION:
High School Diploma, or GED Certification
Must possess a current Oklahoma State Driver’s License
Must pass pre-hire drug screen/test.
Qualifications:
Working knowledge of all general office practices and procedures.
Working knowledge and understanding of forms, handbooks, etc utilized by the Office.
Skilled in operating various types of office equipment; computer literate.
Ability to maintain accurate files.
Ability to perform duties with minimum supervision.
Ability to communicate effectively orally and in writing.a
Ability to greet the public.
Must pass Drug and Alcohol Testing
