POSITION:   Executive Assistant

LOCATION:  Cheyenne and Arapaho Gaming Commission, Concho , OK

DESCRIPTION OF DUTIES:  Under the general supervision of the Gaming Commission Chairman the incumbent will perform various complex functions to maintain and insure the commission offices function efficiently and

DUTIES AND RESPONSIBILITIES:

  • Supports the Gaming Commission Board and Gaming Commission Chairman in implementing a positive work environment in an orderly fashion;
  • Assists the Gaming Commission in being responsible for compliance with all regulations, policies and procedures;
  • Responsible for processing incoming bills for payment, responsible for ensuring vendor files and all office files are maintained in an orderly manner;
  • Responsible for tracking expenditures by utilizing cuff accounts;
  • Responsible for independently preparing memos, letters, narrative and statistical reports for the Gaming Commission office;
  • Ability to communicate effectively verbally and in writing to staff, and general public;
  • Ability to operate office equipment, computer, copier, fax, phone, etc...
  • Required to respect the confidentiality of information.
  • Available for out of town/state and out-of-state training availability.

QUALIFICATIONS:

Qualified candidate must possess enthusiasm, flexibility, creativity and willing to assume complex challenges and responsibility, good interpersonal skills are essential.  Position performs cross activity support roles and benefits from a candidate who has exposure to many disciplines.  Requires excellent written and oral communication skills organizational and logical process skills and must be able to independently multi-task to complete complex projects. Maintain schedule coordination and workflow to ensure timely handling of requests and or projects.  Sensitive issues must be handled with discretion and professionalism. Maintain records of all documentation, file materials, manage data entry and set up databases or accountability of other relevant information.  Perform other duties as assigned.

  • Detail-oriented with excellent organizational skills and initiative to improve processes.
  • Ability to handle and prioritize multiple projects concurrently and independently, often under time restrictions.

  • Coordinate, schedule and set up meetings; prepare itineraries and schedule calendar appointments compile and organize material, maintain division budgets, prepare and distribute department reports.
  • Collects, compiles and processes moderately complex and confidential data and information.
  • Requires independent judgment and ability to make important decisions quickly, anticipate change and react efficiently and expeditiously.
  • Ability to use productivity and collaborative tools and software.
  • Maintains and increases knowledge and skills through attendance at meetings, conferences, seminars, representing the agency and divisions.

Education & Experience

Associates degree in secretarial sciences or related field, prefer Bachelors Degree with emphasis in governmental, business or related field. 

Requires three years of administrative or managerial support in a professional environment, or an equivalent combination of education and experience. 

Knowledge of state operational, regulatory, budgeting and accounting procedures.  Must be operationally competent in Microsoft Office productivity tools and collaborative technologies.

  • Must Valid Oklahoma State Driver’s License;
  • Must pass pre-hire drug screening;
  • Cheyenne-Arapaho preference.

SALARY: negotiable
